Meeuwsen Ten Hoopen, one of the larger Dutch accountancy- and tax consultancy firms, has been involved in the development of CopyConfirm from the very start. They now use CopyConfirm’s service to save costs and embody their policy on sustainability. “In our profession, we mainly process confidential information. The savings on costs of paper, postal charges and personnel are considerable since there is much less need for tangible documents. Besides, in this manner we contribute to a better environment, which has always been an important focus for us. From a legal point of view, the digital correspondence with our clients now has the same evidential value as a written document. We consider it as a normal duty to correspond with our clients using trustworthy digital communication”, says Mr. Riedstra, one of the shareholders of Meeuwsen Ten Hoopen.

“In order to reduce the usage of paper to a minimum, we move more and more to digital correspondence as a company (striving towards a paperless office). Up until now, we were not able to do that for documents, which have a certain legal weight such as order confirmations, umbrella agreements and invoices. As of march 1st, 2010, we will start sending these sorts of documents also via e-mail to our business partners as much as we can. The authenticity (digital fingerprint) will be stored with a third party (www.copyconfirm.com), with which our documents get automatically legal weight, because – if necessary – it can be proved that the documents were actually sent.
We hope that with this new way of working, we do our (modest) part in contributing to a better environment.”

In our practice, trustworthiness of our correspondence via email is essential. CopyConfirm ensures the integrity and authenticity of email without storage of the actual email in its original format with a third party. As a result, possible legal discussions are prevented from happening.
